We are committed to protecting your privacy in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our hiring platform.
By accessing or using Job Simplify, you agree to the terms of this Privacy Policy. If you do not agree with our policies and practices, please do not use our services.
Information We Collect
We collect information that you provide directly to us, including:
- Account Information: Name, email address, password, phone number, and profile photo.
- Professional Information: Resume, work history, education, skills, and certifications.
- Company Information: Company name, size, industry, website, and job listings.
- Payment Information: Billing address and payment method details. Payments are processed by Stripe (PCI-DSS compliant). We never store full card numbers, only card brand and last 4 digits.
- Social Sign-In: If you choose to sign in with Google or LinkedIn (OpenID Connect), we receive a unique identifier (
sub), your name, and email address solely to create or match your account. We request only basic sign-in scopes and do not post on your behalf. Social sign-in is available only where enabled. - Communications: Messages sent through our platform, support requests, and feedback.
We also automatically collect certain information when you use our platform, including device information, IP address, browser type, operating system, and usage data through cookies and similar technologies.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Match candidates with relevant job opportunities
- Process transactions and send related information
- Send notifications, updates, and marketing communications (with your consent)
- Respond to your comments, questions, and support requests
- Detect, prevent, and address technical issues and security threats
- Comply with legal obligations
AI-assisted features: Where enabled, optional features such as resume parsing, summaries, skill suggestions, resume-to-job tailoring, and ATS scoring send the relevant text (resume content or job description) to third-party AI providers (e.g. Anthropic, OpenAI) acting as our data processors under data-processing terms. We do not authorize these providers to use your personal information for their own purposes, including training their models, except as needed to provide the feature to you. These features are assistive only; no hiring decisions are made automatically.
Commercial email (CASL):We send commercial electronic messages only with your express or implied consent as required by Canada's Anti-Spam Legislation. Every commercial message we send identifies Scandium Technologies Corp. (operating as Job Simplify) and includes our mailing address and a functional unsubscribe link. Unsubscribe requests are honoured within 10 business days. Transactional and relationship messages (such as account confirmations, receipts, and application status updates) are exempt from the consent requirement under CASL.
Information Sharing
We may share your information in the following circumstances:
- With Employers: When you apply for jobs, your application information is shared with the hiring company.
- With Agencies: If you opt in to agency services, your profile may be shared with recruitment agencies.
- Service Providers: We share information with vendors who help us operate our platform, including:
- Stripe: payment processing (PCI-DSS compliant).
- Google Analytics 4, Google Tag Manager, and Mixpanel: first-party analytics, loaded only after you grant analytics consent (default denied). Used solely for platform analytics, never for advertising or cross-site tracking.
- Anthropic, OpenAI (and similar AI providers): optional AI-assisted features (see above). These providers act as our processors; they do not use your data for their own purposes.
- Resend: transactional and notification email delivery.
- Cloudflare: hosting, object storage, content delivery, and network security.
- Sentry: error and performance monitoring. Personal data is scrubbed before transmission.
- Performance & reliability telemetry: We collect first-party web-vitals and error data to monitor platform performance. IP addresses are stripped before processing. This data is used solely to operate and improve the platform and is never used for advertising or user profiling.
- Job-post distribution: When employers publish job postings, those postings (which contain no applicant personal data) may be distributed to third-party platforms such as X (formerly Twitter) as part of our syndication features. Employers control whether syndication is enabled for their postings.
- Legal Requirements: We may disclose information when required by law or to protect our rights.
We do not sell your personal information to third parties for marketing purposes.
Data Security
We implement appropriate technical and organizational security measures to protect your personal information, including:
- Encryption of data in transit and at rest
- Regular security assessments and penetration testing
- Access controls and authentication mechanisms
- Employee training on data protection practices
However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
Breach notification:In the event of a security breach that poses a real risk of significant harm to individuals, we will notify the Office of the Privacy Commissioner of Canada (OPC) and affected individuals as soon as feasible, as required under PIPEDA's breach-of-security-safeguards rules.
Your Rights
Under Canada's PIPEDA, you have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Withdraw consent: Withdraw your consent to our collection, use, or disclosure of your personal information at any time, subject to legal or contractual limits and reasonable notice. Withdrawal may affect our ability to provide certain services.
- Deletion: Request deletion of your personal information, subject to our legal retention obligations (see Data Retention below).
- Complaint: If you are not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada (OPC) at priv.gc.ca.

Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services. The following schedule summarizes our typical retention periods:
- Active accounts: retained while your account remains active.
- Deleted accounts: personal information deleted or anonymized within 30 days of account deletion, except where retention is required by law.
- Financial and tax records: retained for approximately 7 years to comply with applicable tax and accounting laws.
- Security and audit logs: retained for a limited period sufficient to investigate incidents and comply with legal obligations.
- Anonymized data: aggregated or fully anonymized data may be retained indefinitely for analytics and platform-improvement purposes.
Cross-border transfers: Some personal information is processed and stored outside Canada, in the EU and United States, by our service providers (including Cloudflare, Stripe, Resend, Sentry, and AI vendors). These providers are bound by data-processing agreements and equivalent protection standards. We remain accountable for personal information transferred to third parties under PIPEDA.
Children's Privacy
Our platform is intended only for adults. It is not directed to, and may not be used by, anyone under 18 years of age (or the age of majority in their province or territory of residence, if that is higher). We do not knowingly collect personal information from anyone below this age. If we become aware that we have collected such information, we will take steps to delete it. If you believe someone below this age has provided us with personal information, please contact us immediately.
Changes to This Policy
